Temporary Operations Support Specialist Float (3-6 Months)

Position Overview:
The Temporary Operations Support Specialist Float (OSSF) responsibilities include, but are not limited to, supporting processes and tasks across multiple departments as it relates to Health Information Management (HIM), Administrative support work (OA), and Intake/Enrollment of new patients. This role reports to the Sr. Manager of Clinical Operations and will be cross trained to effectively support the multiple departments as need warrants.
Schedule: Full-Time 40 hours/week. Weekdays, regular business hours. Anticipated duration of role 3-6 months.
Location: Hybrid (will be in office at our offices in downtown Stillwater, MN approximately 1 day per week, the remaining weekdays will be remote/work from home)
Pay: $18.00 - $20.00 per hour. Salary will be commensurate with experience.

Responsibilities:
HIM-related tasks
- Complete internal and external requests for medical records
- Obtain new patient medical history
- Use internal patient portal to communicate with providers, family, and community members
- Uphold quality standards by following HIPAA guidelines.
- Retain work operations by documenting and communicating actions, irregularities, and continuing needs
- Enhance medical records and clinic reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments
OA-related tasks
- Document Management
- Sort fax inboxes to attach inbound documents to appropriate patients and assigning to appropriate provider
- Adhere to document sorting guidelines and control for duplicate requests
- Monitor incoming Provider to Provider documents, and route accordingly
- Patient scheduling for various Provider teams
- Functioning both independently and collaboratively with Providers, Clinical Assistants, and other Operations Associates to ensure daily team needs are being met
- Upload, enter, and assign patient certifications and re-certifications
Intake/Enrollment-related tasks
- Follow all steps related to new patient enrollment, including management of POA and guardianship paperwork and processes
- Ensure and provide strong communication for community staff, family members, and patients
- Collaborate with provider teams and community staff members to ensure appropriate enrollment
- Data entry of all patient demographics in electronic medical records and Bluestone Bridge
- Accurately and efficiently process enrollment on a timely basis
- Provide exceptional customer service to family members, facility staff, and Bluestone peers through multiple channels such as phone, e-mail, and written letters
- Ensure all required patient documentation is complete and signed prior to processing
Education/Certification/Experience
- 1-2 years of experience working in a healthcare field preferred
- Health Information Management (HIM) certification preferred
- Experience working with Electronic Medical Records preferred
- Knowledge of medical terminology
